01 / Challenge
An advisory firm was tracking VAT submissions, corporate tax filings, licence renewals, audits and accounting obligations for its whole client book through manual reminders and scattered messages. Staff had no single view of their tasks or portfolios, deadlines were missed, and the practice could not take on more clients without hiring in proportion.
02 / Approach
Deadlines were turned into configuration rather than habit. Each service carries frequency rules and linked alert rules with offsets — so many days before, after or on a base date — and a cron-driven notification engine schedules from the client's own registration dates. Nobody sets a reminder; the rule does.
A separate monthly cron creates accounting tasks automatically for every client with an active accounting registration and pushes them to the assignee, which is the recurring work that used to consume an admin's first morning of each month.
Multi-tenancy is enforced at the data layer with tenant-scoped isolation and email uniqueness per tenant, so the platform serves several advisory firms from one deployment. Admin and staff are genuinely different applications behind a permission matrix, and every task change writes a field-level diff to an audit log — which is the part a regulated practice needs and rarely gets.

The compliance lifecycle runs end to end: client onboarding, service registration, automated deadline alerts, task assignment and completion tracking. Manual deadline tracking is gone, monthly accounting tasks generate themselves, and a Kanban board with drag-and-drop status and per-assignee filters replaced asking people what they were working on. One-click Excel export covers the reporting that used to be compiled by hand from several places.
